  1. Parsing. Software breaks your file into structured fields: contact info, job titles, skills, education. Two-column layouts, text boxes, tables, and graphics routinely scramble this step, which can leave your profile half empty.
  2. Normalization. Your wording gets mapped to standardized skill categories. "Ran a crew of five" becomes Team Leadership either way, so plain language works fine.
  3. Semantic scoring. The system reads meaning and career trajectory, not just exact keyword matches. It weighs your years of experience, how recent your skills are, and how your history fits the job description.
  4. Fraud checks. Old tricks like pasting the job description in tiny white text now get your application penalized or removed automatically.

The Rules This Template Follows

  • Single column, top to bottom. No tables, text boxes, icons, skill bars, or headers and footers. Parsers read like a plain document, and layout tricks corrupt the data.
  • Standard section headings. "Professional Experience," not "Where I've Been." Creative headings break the mapping between your text and the system's fields.
  • Action and result in every bullet. What you did, how you did it, and a number showing what changed.
  • Tailored to each job. Match your summary and skills to the actual language in the job description. Semantic matching means related terms count, but the exact terms count more.

Screening systems and hiring managers are now both trained to spot resumes written entirely by AI. Thousands of applicants generate the same polished, generic bullets, and they blur together. Use AI to organize and tighten your resume, but the specifics must be yours: your real numbers, your real projects, phrasing that sounds like a person. A slightly imperfect resume with real details beats a flawless one that reads like everyone else's.
